Point 1
Before we start any work
If you cancel after paying but before we begin work on your file, nothing has been done for the fee you paid.
Refunded: the full professional fee
Cancellation and refund policy
You can cancel your Saudi company formation file with us at any time. What comes back to you depends on how far the work has gone: our professional fee is refunded in full before work starts, and stage by stage after that, while fees already paid to Saudi authorities and other third parties stay with them.
Our professional fee
Your written quote splits the work on your file into stages, and the refund of our professional fee follows those stages: a stage we have not started is refunded, and a stage we have started or finished is not.
Point 1
If you cancel after paying but before we begin work on your file, nothing has been done for the fee you paid.
Refunded: the full professional fee
Point 2
Once we have started a stage, the time and work for it are already committed, and a completed stage has delivered its result.
Kept: the fee for those stages
Point 3
Any stage in your quote that we have not begun when your cancellation arrives is refunded, whatever stage the file has reached.
Refunded: the fee for those stages
A stage is a block of work named in your quote, such as document review and apostille, MISA registration, the Commercial Registration, or an activation step like ZATCA and GOSI registration, the bank account or residency. A stage has started once we have begun work on it, for example by reviewing its documents, preparing its forms or submitting its application. The order of the stages is set out on how we work.
How it works out. Say your quote has five stages and you cancel while we are preparing the MISA application, the second stage. The fee for the document stage and the MISA stage is kept, the fee for the three later stages is refunded, and government fees already paid stay with the authorities.
The first consultation is free, so there is nothing to cancel or refund for it.
Fees paid to others
Fees we pay on your behalf to Saudi and home-country authorities and to other service providers cannot be refunded by us once they are paid, because that money has gone to those bodies rather than to Saudia Company Formation.
These are the third-party fees most files carry. Each is shown separately from our professional fee in your quote, and we give you the receipt when we pay it.
Refused applications
A refused application is handled according to its cause: when our error caused the refusal we correct and refile at no extra professional fee, and when the cause was outside our control the fee for completed work is not refunded.
Our error means something that was ours to get right, such as a form we completed wrongly or a document problem our review should have caught.
We correct the file and submit it again at no extra professional fee.
The fee for completed work is not refunded. Stages we have not started are still refunded under the normal rule.
Making a request
To cancel, send us a written request by email to support@saudiacompanyformation.com or by WhatsApp on +92 310 5425973, from the contact details we hold for your file.
Give your name and your company's name, and say that you want to cancel. A phone call alone is not enough, because the date of the written request is the cancellation date.
We confirm receipt within one working day and stop work from the date your request arrived, apart from anything already with an authority that cannot be withdrawn.
It lists each stage as completed, in progress or not started, the third-party fees already paid with their receipts, and the refund that results.
Once you agree the statement in writing, we pay the refund within 14 working days to the payment method you used.
The rest of the policy
This policy works alongside our terms and conditions and our disclaimer, and it applies to every paid service we provide under a written quote.
Refunds go back to the payment method you used, within 14 working days of the date we agree the refund with you in writing. If that method can no longer receive money, for example because the account has closed, we agree another method with you in writing. The time your bank takes to credit the payment is outside our control.
If we are waiting on you for a document, a signature, a decision or a payment and hear nothing for 90 days, we may close the file. We send you written notice first, and the file closes only if you don't reply by the date in that notice. A closed file is treated as cancelled on that date, so stages we have not started are refunded. Approvals and documents can expire while a file is inactive, and renewing them can mean new government fees.
We may cancel your file if the business you plan would be unlawful, or if documents or information you gave us turn out to be false or forged. We tell you in writing and refund the stages we have not started; fees for started and completed stages, and third-party fees already paid, are not refunded. Our terms and conditions also allow us to stop work when agreed payments are not made.
If the quote you signed sets a different cancellation rule for a particular service, that rule applies to that service. Everything else on your file follows this policy as it stood on the date you accepted the quote.
If you disagree with a statement or a refund, write to us at support@saudiacompanyformation.com with your reasons. We review the file and reply in writing, and we try to settle it with you directly. If we cannot, the governing law and jurisdiction clause in our terms and conditions applies.
